
The Dictation/Transcription industry has made many advances in the last few years. There are many facets to health care and transcription is involved in several facets of the healthcare industry.
Below is an explanation of how MedEDocs software offers solutions to the transcription process.
Dictation
The doctor is required to keep written notes for the patient's chart. The doctor records notes to be transcribed and inserted into the patient's permanent record. Copies of this record are forwarded to any referring physicians and to the insurance companies along with billing.
Doctors want an easy to use dictation process that is available from anywhere, anytime. Our system provides that. Depending on the location, he/she can use the existing dictation system or any standard phone to dictate. We also have a digital handheld solution for those who prefer.
The doctor can view his transcribed reports (and only his) as soon as it is done. He can then edit, approve, print, view, or forward.
Transcription
Transcriptionists want to work from home where they can make more money and take care of their family and home. They do not want to make large investments in equipment and software or be tied to a single employer. Many want the opportunity to make extra money for extra effort.
Our software has been proven to make transcriptionists up to 40% more efficient. It will allow for immediate availability of as much work as the typist wants. It will automatically provide the relevant demographics. The typist can see how much she has earned at any time. She can arrange for direct deposits weekly or daily. She can pay for the software via an automatic deduction based on work produced, so there is never more taken out of her paycheck than she can afford.
At first, all transcriptionists will have their work proofed. When they prove to meet standard levels of accuracy, the need for proofing is eliminated, and they are rewarded with higher pay. Further opportunities are available as senior typist, allowing her to earn overrides for proofing other people's work.
Documents
Documents are stored in a database on our secure server. They are encrypted with a 128 bit algorithm. Each document is coded and only those people with permission can view it or edit it. Documents are in a Microsoft Word format, which is compatible with most software situations. In some cases, a copy of these documents may be inserted into the hospital's management software through an API if available.
The documents will carry an electronic signature of the dictator once reviewed.
The document will be searchable by multiple query fields. A doctor or administrator can search for a specific document by the patient's name, date, doctor, referring doctor, diagnosis, chart number, etc.
Charts
The patient charts require a large amount of space to store. This is space that can be turned into an income-producing area. Traditionally these charts are kept available for one to three years and must be retrieved and referenced for past reports each time a patient returns for a visit.
We make it possible for the provider to archive these records by making the reports available "on-line". Years of history can be kept for each patient in an archive.
Demographics
Two major concerns in medical billing involve patient demographics and proper coding. This information must be correct in order to be paid in a timely manner. Our software pulls the demographics (patient and doctor names, addresses etc.) from the existing dictation system or prompts the doctor for work types and patient Ids. This information is automatically inserted into the medical report thereby saving time for the typist, the transcription company, the administrator and the billing department.
Billing
Reports need to be available as soon as possible so the billing department can file a claim for payment. Often, the report itself is used to derive the codes for filing the claim. Our system allows for turnaround times of no more than 24 hours and in many cases as little as two hours. Our "demographics" feature inserts the correct information so that billing can use match the right report with the right claim. Future options can include a suggested code and modifiers for certain "buzz" words found in a medical report. These can be custom programmed by the practitioner for standard procedures.
Administration
Administrators can use our system to bill for transcription, pay employees or contractors, manage resources and view reports (if authorized). The administrator can assign work to typists (in house or out source), create or authorizes templates, change typist status, etc.
Doctors
The doctor can view his/her reports from anywhere with our internet based log-in procedure. In addition to our powerful "Viewer" Software, we have developed a "website" log-in page or "portal" that a doctor can use to view ready documents only.

Dictation
The state of the art allows for transcription to be recorded digitally, then either played back through a piece of hardware (transcription station, C-phone, super station, universal station, etc) for transcription or sent as an independent digital voice file to a PC based software program to be played by the PC and transcribed.
Traditionally the hospital or service provider had a staff of transcriptionists on site. The doctors dictated into an expensive dictation system or used micro-cassette tapes. As health care became more diverse, there was a need to remove transcriptionists from the health care provider and locate them at home or with a transcription company.
